Password Reset Guide:

  1. Click the "Forgot Password" link on the login page.
  2. Enter the email address associated with your account.
  3. Check your spam/junk folder if the reset link does not arrive within 5 minutes.
  4. If the issue persists, contact support to manually reset your password.

MFA Troubleshooting:

  • Authenticator App: Ensure your device's time is synchronized correctly, as code validity relies on time.
  • Lost Device: If you lost your MFA device, contact your organization's Administrator to request a MFA reset, or contact AIVRA support with your account verification details.

Adding, Removing, and Managing User Roles and Permissions

The Organization Administrator is responsible for managing all team members and their access levels within the AIVRA portal.

Standard User Roles:

  • Administrator: Full control over billing, users, and all projects.
  • Developer: Can create, edit, deploy, and manage automation workflows, but cannot access billing or manage other users.
  • Viewer: Read-only access to monitoring, logs, and deployed automations.

Steps to Invite a New Team Member:

  1. Navigate to the 'Users & Teams' section of the Admin Dashboard.
  2. Click 'Invite User' and enter their corporate email address.
  3. Select the appropriate Role (e.g., Developer) and click 'Send Invitation'.
  4. The user must accept the invitation link within 7 days to activate their account.

Generating, Revoking, and Securing Your API Keys

API keys provide programmatic access to the AIVRA platform and must be treated as sensitive credentials.

Best Practices for API Security:

  • Never hard-code keys directly into source code. Use environment variables or a secure vault.
  • Regenerate keys immediately if you suspect they have been compromised.
  • Use least privilege: Create separate keys for different applications and assign them only the minimum required permissions.
  • Revoke old keys promptly once they are no longer needed or if a team member leaves the organization.

Permanently Deleting Your AIVRA Account or Workspace

If you need to permanently shut down your account or entire workspace, this action requires Administrator privileges and is irreversible.

Deletion Checklist:

  1. Export Data: Ensure all necessary logs, workflow definitions, and critical data are exported and backed up.
  2. Cancel Subscriptions: Cancel all active subscriptions and services to prevent future charges.
  3. Final Confirmation: Navigate to Admin Settings > Account > Delete Workspace. You must enter your password and a confirmation code to finalize the deletion.
  4. Data Purge: All data, including projects, logs, and user credentials, will be permanently purged from AIVRA servers 90 days after the deletion request.

Changing Your Name, Email Address, and Notification Settings

Individual profile settings can be updated by navigating to your user profile icon in the top right corner of the portal.

Profile Update Steps:

  • Name & Title: Can be updated instantly in the Profile tab.
  • Email Address: Requires a validation email to be sent to the new address for confirmation before the change takes effect. This is to ensure security.
  • Notifications: Customize which alerts (e.g., successful deployment, critical errors) you receive via email or in-app notification in the Settings tab.
